Build an Editable Film Pitch Deck in Keynote

Build the deck around the things another person must change: the words, the images, and the choice of layout. Keep those things editable. Reserve fixed layout objects for elements that should stay put. Then treat the Keynote document and the reading PDF as two different deliverables, with different checks.

The useful question is not whether you can select something on a slide. It is whether you can replace a long synopsis, swap an awkward photograph, or change the page arrangement without rebuilding the page or silently damaging the copy.

Demonstration status: This is a documented Mac workflow with an original four-page exercise, not a completed native-file demonstration. The accompanying material does not yet contain a tested .key file or a PDF exported from it. Native editing, layout-transfer, font-substitution, and export checks remain unperformed.

Give the reusable file a real problem

Start with a small, fictional project called Last Light. Two sisters have one evening to empty the projection booth of their father's shuttered cinema. One wants to keep the equipment. The other needs the room cleared before the property changes hands.

This exercise has four pages: cover, story, visual approach, and project context. They are not a prescribed deck structure. Four pages are enough to test a cover, a substantial reading page, an image-led page, and a page whose factual qualifications must survive revision.

Use this cover copy:

Use this story copy without shortening it to make a design look better:

Mara arrives with boxes. Her sister June has already switched on the projector. Their father's cinema has been sold, and the booth must be empty by morning. Mara intends to take the records and leave the machinery; June wants to save the projector but has nowhere to put it. As they sort reels, tools, and unsigned maintenance notes, each discovers how much work the other did here without acknowledgment. When the buyer calls to move the handover forward, the sisters must choose what they can carry together—and what neither can keep alone.

The visual-approach page has a different job:

A room that keeps working after its audience has gone.
We stay close to the sisters' hands and the awkward weight of the equipment. Wide shots let the booth's narrow passages divide them. The projector supplies a moving light source, not a permanent glow over every exchange. When it stops, neither sister gets a flattering farewell.

For project context, use a deliberately modest statement:

The screenplay and all production details are fictional. No performers, location, financing, or equipment access are attached. The purpose of this file is to test editable pitch pages, not to represent a production package.

That last paragraph matters as much as the title. A reusable design that encourages someone to delete inconvenient qualifications is a bad handoff, however tidy the result.

Choose two layouts for the working pages

For this exercise, propose a 16:9 canvas and two content layouts. Keep the cover separate. The aspect ratio is a design choice for the exercise, not a requirement for film pitches.

Call the first layout Reading. Give roughly half its width to the story, with a separate image area beside it. Call the second Image-led. Let the image take more room and give the text a narrower, deliberately limited area. Both need a title, body, image, and small source or context caption.

Start with a consistent outside margin. On a 1920 × 1080 design reference, 96 units makes an easy working margin; it is a proposed proportion, not a readability standard. Establish the title and body sizes using the actual story paragraph, not “Lorem ipsum.” Choose a body size that you can read comfortably at your intended review scale before deciding how much copy a layout can hold.

There is no prize for making the Reading and Image-led layouts accept identical amounts of text. Their difference should be useful. The long story may belong only on Reading. The shorter visual statement can move between both, which makes it a better transfer test.

Give the project-context page the Reading layout too. The shared layout should serve the information, not dictate that the text block must be full. Empty space is preferable to invented production credentials.

Make the editable objects genuine placeholders

Apple distinguishes ordinary slide-layout objects from placeholders: an ordinary object added to a layout becomes part of the background, rather than an object editable on individual slides. Changes to the layout itself can affect the slides based on it.[^1]

In Keynote's View menu, enter Edit Slide Layouts. Create or adapt the two layouts and name them clearly. Select each intended editable text or media object, then use the Format sidebar's Style controls to define it as a text or media placeholder. Exit layout editing when you are ready to work on slides.[^1]

Use a small naming scheme for the content roles:

These names are our convention, not required Keynote keywords. Apple's guide explains that matching placeholder tags help content carry to the corresponding placeholder when a layout changes; the Tag field is in the Style controls for the selected placeholder.[^1]

A caption belongs in a placeholder when its words change from page to page. A decorative rule can remain fixed. A logo needs a decision: is it a permanent project mark, or something the next project must replace? Do not bury a changeable credit inside an uneditable background merely because it occupies the same corner every time.

Now put the supplied copy into actual slides based on the layouts. Work on the slides, not on the default text in the layout editor. The distinction keeps the reusable structure separate from this particular film's content.

Test the long paragraph before decorating the cover

The story page is your first stress test. Paste the complete paragraph into its body placeholder. Check the last sentence, especially “what neither can keep alone.” If that phrase disappears, the meaning of the ending has disappeared with it.

Do not immediately shrink the text. First decide what caused the problem. Is the body area unnecessarily narrow? Does a title consume more height than its job requires? Is a large image competing with the page's actual purpose, which is to make a sequence of choices readable?

Apple documents automatic font resizing and ways to disable it: for a theme text box, the Text > Layout controls include Autosize Text; for an added text box, Format > Shapes and Lines > Reset Text and Object Handles changes the handling. Font and size controls sit under Text > Style.[^2]

Whether you allow automatic resizing is a deliberate choice. In this exercise, treat a change in body size as something to inspect, not as proof that the problem is solved. Copy that technically fits can still be too small, too dense, or too visually subordinate to read comfortably.

Try a second, longer title: The last night in a room neither sister knows how to leave. Watch what it asks of the story page. A title that occupies three lines instead of one needs space somewhere. Decide whether to alter the layout or use a shorter approved title; do not let the collision make that editorial decision invisibly.

For a real project, only the person authorized to change the copy should remove a story beat. A designer can recommend a cut. A template cannot approve it.

Replace an image, then inspect what survived

Use two deliberately unglamorous test images: one wide, with important material near an edge, and one tall, with important material near the top. The companion exercise supplies labeled geometric cards for this purpose. They are crop-test inputs, not film references or screenshots of Keynote.

Apple documents several replacement routes, including the replace control on a media placeholder and Format > Image > Replace. Its guide says the latter retains the original image dimensions.[^3] That is a starting geometry, not a promise that the new composition is useful.

Put the wide card into the image area. Then replace it with the tall card. Does the part you intended to discuss remain visible? Is it legible at the size the image occupies on the page? Does the caption still describe what the reader can actually see?

To adjust the visible portion, double-click the image and use the mask controls. Apple's guide distinguishes masking from altering the underlying image: the hidden areas remain in the source. Finish the adjustment with Done.[^4]

In Last Light, imagine the image's job is to show that the sisters cannot pass one another while carrying the projector. A crop that preserves one face but removes the narrow doorway fails that job. A beautiful crop can still make the wrong argument.

The possible fixes are concrete: reposition the image within the mask, allow a different frame shape, choose the other layout, or choose another image. Do not stretch a source photograph until the doorway becomes wide enough to accommodate the layout. That changes the spatial evidence you meant to use.

Repeat the replacement once on the second layout. This is not a demand that every photograph work everywhere. It tells you which combinations are unsuitable before someone assumes the file is universally interchangeable.

Separate content transfer from a successful page

Use the visual-approach slide for the layout-transfer check because its body is shorter than the story's. Save a working copy before testing. Change that slide from Reading to Image-led, then inspect the title, paragraph, image, and caption as four separate items.

Matching tags are intended to associate corresponding placeholders.[^1] Even when the intended content transfers, the new arrangement still deserves inspection. The same sentence can form an awkward column. The same image can lose the part that explains the filmmaking choice. A caption can become so remote from its image that their relationship is unclear.

To test the setup rather than merely admire the successful arrangement, make a temporary copy of one layout and give its image placeholder a different tag. Name the copy TEST—mismatched image tag. Change a duplicate slide to it and record what actually happens in your Keynote version. Do not assume a particular failure will occur or describe an expected failure as an observed one.

Restore the agreed tag in the layout, return to a clean duplicate of the original slide, and repeat the transfer. Keep the original image available so that a lost or misplaced object does not force a search through the whole deck. Remove the temporary test layout from the delivery copy once the repair has been checked.

The useful record is small: the starting layout, target layout, tags, what moved, what did not, and the correction. “The slide looked fine” is not enough to establish that the next person can change it safely.

Reopen, replace a font, and read again

Save the native file with a clear project and version name, close it, and reopen it. On a duplicate, change the story's final sentence, replace the main image, and move the visual-approach page to the other layout. These are acceptance checks to perform, not results claimed for the supplied exercise.

Then test a font change using a font actually available to the recipient. Keynote's documented route is Format > Font > Replace Fonts. Apple also describes the missing-font notification shown when a presentation uses an unavailable font.[^2]

After substitution, inspect the long title and longest paragraph again. Equal point sizes do not establish that the page remains useful. Your acceptance criterion is the full, readable copy in the intended hierarchy, not simply the disappearance of a warning.

Do not send a font file as a shortcut. Record the chosen typefaces and the substitution you checked. When the recipient's environment is unknown, say so; do not turn a test on one computer into a claim about every Mac.

Record the exact Keynote and macOS versions used for the native run. The sources below are documentation inspected on September 19, 2026, not evidence that this example has been opened in those applications.

Export a reading copy, not a replacement for the source

Keep the .key document. For the PDF, Apple's documented route is File > Export To > PDF. Its export options include image quality and whether to include notes, skipped slides, comments, or individual build stages; ordinary slide export puts each slide on its own PDF page.[^5]

For this four-page reading exercise, aim for four pages with the intended final content. Do not include private notes or review comments unless the recipient is supposed to receive them. A different purpose may justify different settings, but those settings need an owner.

Open the exported PDF separately. Check the page count and sequence, the long story's final sentence, both image compositions, the project-context qualifications, and any links the recipient will use. Read at a normal review scale as well as close up. A zoomed-in inspection can reveal a defect while concealing the experience of reading the whole page.

Check accessibility in the actual reading route rather than declaring the PDF accessible because the source text was editable. Text selection, usable reading order, meaningful image descriptions where needed, and legible contrast are different questions. This exercise makes no accessibility-certification claim.

If the PDF has a problem, correct the native source and export again. Editing only the reading copy creates two competing versions: the one that looks right now and the one that will reproduce the mistake next time.

Deliver the checked .key and its matching reading PDF with a brief note naming the tested environment, the two layout purposes, and any known limits. The recipient should be able to change the film's words and images without having to reverse-engineer how you made the pages.
